Using xPense

Terms of Service

Effective date: November 1, 2026

These Terms explain how you may use xPense, a free personal-finance web application created and maintained by one independent developer under the name Digital Accolades. By accessing or using xPense, you agree to these Terms. If you disagree, please do not use the application.

In brief: xPense is free to use, requires a Google account, and uses a spreadsheet in your own Google Drive as the primary record of the financial information you enter. Voluntary donations do not unlock features.

1. Operator and contact

xPense is an independent project operated under the name Digital Accolades. I am its sole creator and developer. You can contact me about the service or these Terms at accolades.dev@gmail.com. The official website is https://xpense.accolades.dev/.

2. What xPense provides

xPense helps you enter, organize, view, edit, archive and export personal income and expense information. With your authorization, it creates or connects to an application-authorized Google Sheet in your Google Drive. It can store changes locally while offline and attempt to synchronize them after connectivity and authorization are restored.

xPense is a personal recordkeeping tool, not a bank, payment processor, financial adviser, accountant, tax adviser or investment service. The calculations and summaries are informational. You are responsible for checking their accuracy before using them for tax, legal or financial decisions.

3. Eligibility and Google account

You need an eligible Google account and must be legally capable of accepting these Terms in your jurisdiction. Google Sign-In is the account access method for xPense; there is no separate xPense password. You must keep your Google account secure and comply with Google's applicable terms. The permissions you grant are described in the Privacy Policy.

4. Your information and Google Drive

You remain responsible for the financial records and other content you enter into xPense. The primary financial-record spreadsheet resides in your Google Drive, subject to Google's availability and your Google account settings. You authorize xPense to access, create, read and modify the application-authorized files necessary to provide the features you request.

Deleting or disconnecting your xPense account does not necessarily delete the Google Sheet. You may manage the sheet directly in Google Drive. Conversely, deleting or changing access to the sheet may interrupt xPense functionality. Before removing an account, clearing browser data, or changing Google permissions, export or back up information you wish to keep.

5. Offline use and synchronization

xPense may keep pending changes in your browser's local storage while offline. Offline edits are not guaranteed to sync until you reconnect and successfully authenticate. Browser resets, device loss, private browsing, storage cleanup, account changes or software faults may cause unsynchronized data to be lost. Check that important entries appear in your Google Sheet and keep your own backups.

6. Free service and voluntary support

xPense is offered without a required subscription or payment. I may provide a voluntary Support my work link to help cover maintenance and ongoing development. A contribution is optional, does not buy additional features or preferential access, and is processed by Stripe on its separate website under Stripe's applicable terms. Any donor-related rights or refunds are subject to applicable law and the payment provider's terms.

7. Acceptable use

8. Service availability and changes

As an independently maintained project, xPense may occasionally be unavailable for maintenance, technical problems, Google or Cloudflare outages, or changes to third-party APIs. I may change, improve, suspend or discontinue features or the service. Where reasonably practicable, significant changes will be communicated through the website or application. Because your primary transaction sheet is in your Google Drive, you should preserve independent access to it.

9. Privacy and security

The handling of personal information is explained in the Privacy Policy. xPense uses security measures intended to protect accounts and communications, but no internet service or offline storage mechanism is completely risk-free. You are responsible for protecting access to your devices and Google account.

10. Intellectual property

The xPense name, branding, interface and software are part of the Digital Accolades project, except for third-party components governed by their respective licenses. These Terms permit you to use the hosted application for its intended purpose; they do not transfer ownership of the software or branding to you. You retain your rights in the information you create and enter.

11. Disclaimers and liability

To the extent permitted by applicable law, xPense is provided on an “as available” basis without a promise of uninterrupted operation or error-free calculations, synchronization or third-party integrations. I am not responsible for Google account restrictions, changes to Google services or circumstances outside my reasonable control. Nothing in these Terms excludes or limits liability or consumer rights that cannot legally be excluded or limited.

12. Account access and termination

You may stop using xPense, revoke its Google permissions, and request deletion of xPense-controlled account information by emailing accolades.dev@gmail.com. Revoking access does not automatically remove your Google Sheet, browser-stored information or copies you have exported. I may restrict access where reasonably necessary to address abuse, security risks or legal obligations.

13. Applicable law and your rights

These Terms operate subject to applicable law, including mandatory consumer-protection and data-protection rights where relevant. They do not require you to waive legal protections or statutory remedies available in your country. For concerns, contact me at the address above so I can investigate them.

14. Changes to these Terms

I may revise these Terms to reflect changes in xPense or applicable requirements. The effective date shown above identifies the published version. Continued use after an updated version takes effect indicates acceptance where permitted by law. When a change requires affirmative consent, I will request it.
